Confidentiality

The Pre-school’s work with children and families will sometimes bring us into contact with confidential information. To ensure that all those using our Pre-school can do so with confidence, we will respect confidentiality in the following ways:

Parent’s will have ready access to the files and records of their own children, but will not have access to information about any other child. Any information kept on a child will be stored securely and not shared with any third parties without the parental permission.

Information given to us by parents/carers will not be passed onto other people without permission. We respect our families for sharing any confidential information and therefore respect their confidence and privacy.

Where families are living apart, clear procedures of access to the child will be established and respected.

Any anxieties/evidence relating to a child’s personal safety will be kept in a confidential file and will not be shared within the group except with other relevant staff.

Issues to do with the employment of staff, whether paid or unpaid, will remain confidential to the people directly involved with personnel and wages.

Staff will maintain this ethos of confidentiality outside of the setting including within the wider community and while using social networking sites.

Students working or observing in our Pre-school will be advised of our confidentiality policy and be required to respect it.

As part of our vetting procedure for staff we use the Disclosure and Barring Service to assess applicant’s suitability for positions of trust. We comply fully with the DBS code of practice regarding the handling, use, storage, retention and disposal of disclosures and disclosure information. We also comply with the General Data Protection Regulations 2018.

Any disclosure information will only be used for the specific purpose for which it was requested. We will keep information for no longer than 6 months after which it will be shredded. We will however retain the disclosure number and date of issue. If in exceptional circumstances it is necessary to keep information for longer than this period, then it will continue to be stored securely and we will consult with the DBS.
